VR Headset Protocols

Taking part in a Jenson8 VR session is an exciting but sometimes unsettling experience for first time and experienced users alike. Jenson8 has developed these protocols to help guarantee a successful and enjoyable session for partners and workshop participants. Please make sure that you adhere to the following protocols at all times, and that you have sufficient team members who can assist participants.


Guardian Boundary

  • For standing participants - Ensure that a space of at least 2x3 meters (6x9 feet) is established and is clear of obstructions.
  • For seated participants - Ensure that a space of at least 1.5 x1.5 meters (5x5 feet) is established and clear of obstructions.
  • Floor Level - Ensure the floor level is set properly when creating the guardian boundary, otherwise the participant's height will be calibrated incorrectly, which will negatively impact their experience. When prompted in the guardian setup, the floor level is set by bending down to touch floor with the touch controllers, then slowly standing back up.
  • For Meta Quest 3 - we recommend setting up the guardian boundary manually rather than using the automatic boundary feature, especially if setting up an on-site event where other guardian boundaries are nearby. We have identified issues where the automatic boundary feature does not set the floor level correctly.
  • Virtual Height Adjustments - If desired, the headset can be set to compensate for lowered height (e.g. seated participants wishing to participate at a standing height). Navigate to Settings > Accessibility > Mobility and enable the Adjust Height setting. This is not recommended for members of Team A as they won't be able to reach items on the floor of the virtual environment.
  • While in VR, the participant should not leave the guardian boundary with the headset on. Suggest to them that they treat the boundary like an electric fence!
  • On-site: Keep headsets in boundaries - Once a headset has been set up with a guardian boundary, do not remove it from the space if it is in an active session, even if the headset is not being worn. When a participant leaves their space, they should leave the headset in the center of the floor with the lenses facing away from any open windows or natural sunlight.
  • If the participant has to leave the headset for any reason, it should be left in the guardian space, and should NOT be turned off. Also, do NOT disconnect from or close the Apollo/Boomerang app if the headset is left. Only close the app between game sessions.
  • Re-Centering a Guardian Boundary - If for any reason, the center of the VR environment and the center of the guardian boundary are not aligned, this can be fixed by re-centering the guardian boundary. Have the participant stand in the center of their guardian area, and long press the oculus button on the right-hand controller. When the button is held down for 2 seconds, a white circle will appear in the center of their vision. When the white circle disappears, the VR environment will re-center to the participant’s current standing position. (This may be helpful when a player is having trouble reaching objects that are outside of the space, but should be reachable, like a tool on a nearby workbench).
  • Boundary Issues - For on-site events, Do NOT allow participants create or re-draw their Guardian Boundary. Inform participants at the beginning of the session that if they are prompted to create a new boundary, they must raise their hand so that Tech Support can ensure the Guardian Boundary is safely restored.

Safety

  • Please make sure no pets or small children can enter the guardian boundary space and that objects do not cross into the space. While in headset, the participant will not have the ability to see the space.
  • If for any reason a participant feels unwell during the experience, have them remove the headset, take a seat and ensure they are sufficiently hydrated. If the participant is dizzy and attempts to move the out of the space too quickly, they may be in danger of falling or fainting. For medical emergencies, contact local emergency medical services.
  • Participants should be wearing flat shoes when in VR. Wearing heels or shoes with platforms is not safe.
  • Individuals prone to photosensitive seizures should not use VR headsets.

 

Proper Care and Cleaning/Sanitising

  • Always make sure that inner headset lenses are facing away from direct sunlight. The lenses are sensitive to light and will become damaged if over exposed (If a headset has purple or blue streaks in the display, this is likely the result of sun exposure).
  • Only touch the inner lenses with a microfiber cloth. Any other material is likely to cause small abrasions that impair the clarity of the lenses.
  • Do not use cleaning fluids or other chemicals on the lenses. This can damage the anti-glare coating.


Settings & Controls

  • Display Settings - Please ensure the sleep timer in headset is set to 4 hours, and display off timer is set to at least 1 hour.

    To check this go to Settings > System > Power.

  • Volume Levels - Make sure the volume of each headset has been turned up to an appropriate level. Note this may change when connected a set of earbuds.

    The volume of the headset is controlled via a rocker switch on the underside of the headset, just above the participants cheekbone.

  • Voice Chat Enablement - Ensure that microphone permissions (permission to record audio) are enabled for any Jenson8 app which requires voice chat functionality. More information here
  • Handset Batteries - Make sure the hand controllers have sufficient battery. To check this in headset, pull up the menu by pressing the Oculus/Meta/Pico button on your hand controller and check the hand controller battery status in settings.

    Meta Quest headsets require one AA battery per handset.

    Pico Neo Headsets require two AA batteries per handset.

  • Quitting an App - To quit an app, press the Oculus/Meta button on the right-hand controller. When the overlay menu appears, select the grey “Quit” option, and the headset will return to the home environment.
  • Wi-Fi Connection - Headsets need to be connected to a Wi-Fi network in order to work with Jenson8 applications. To do this, select the “Connect to Network” option that will appear in the headset if it does not currently have internet access. Use the controller cursor to type the password of the network into the headset. If the "Connect to Network" prompt is not displayed automatically, you can access it from the Quick Settings menu using the "Wi-Fi" button.
  • Headset Strap Adjustment - When the headset is being worn, it should be tight enough that it does not move around, but not so tight that it hurts the participant. If the participant looks up, you should still be able to see the tip of their nose under the headset. If you cannot see their nose at all, the headset is either too loose, or the headset is resting too low on their face.
  • Headset Clarity Improvements - If the image in headset appears blurry to the participant, there are two adjustments you can make to improve focus. Firstly, try moving the headset up or down on the participant's face and adjust the strap so it stays in the position with the best focus. Secondly, the lenses can be closer together or further apart to match the user's eye-spacing. To do this, lightly grip the housing around the lens without touching the lens itself, and push the lens outwards or inwards. There are several different positions the lens can be clicked into.
  • Earbud Connection - If you are using earbuds, the 3.5mm audio jack is on the side of Meta Quest headsets, and the underside of Pico headsets.
  • For Glasses Users:

    - Meta Quest 2 headsets come with a glasses spacer which must be inserted behind the foam facial interface.

    - Meta Quest 3 - users with glasses can adjust the space between their face and the lenses by holding the buttons on the inside of the foam facial interface and pulling the frame out to a suitable distance.


Organisation

  • It is a good idea to label headsets and controllers, so they do not get mixed up. Because they are paired together, they are not easily interchangeable.
  • If you are running an event in which participants will be seated (for B and C players only), be sure to print out and label each of the chairs. 
  • Headsets need to be fully charged at the beginning of an event. It is also a good idea to charge them during long breaks to ensure they do not run out of battery during a session.
  • It is a good idea to have a extra AA batteries on hand for the hand controllers, should one or more of them run out of battery. Each controller takes 1 AA battery.
  • Unless instructed to do so, participants should not open other apps on the headset during the experience, regardless of their comfort level with VR technology. Doing this at the wrong time may cause them to be disconnected, and unable to rejoin a game.
