How much time should I reserve for setup?
For on-site and hybrid events, Jenson8 staff require sufficient time to carry out our general points of setup. Note that we may require more time if there additional tasks to address - if you are unsure please contact us.
As a general guideline, we recommend allowing 15 minutes per-device ahead of the session start time, though this may vary depending on the number of Jenson8 technicians attending. Here are some examples:
- 4 on-site participants = 1 hour setup time
- 8 on-site participants = 2 hours setup time
- 12 on-site participants = 3 hours setup time
- 18 on-site participants = 4.5 hours setup time
If you are able to book additional time on top of this; please do so. Jenson8 staff prefer to have as much preparation time as possible in case of any unexpected troubleshooting.

- Connecting all devices to the on-site Wi-Fi
- Setting up facilitation and AV equipment
- Running a connection test with Jenson8 applications
Additional Setup Tasks
The following list includes setup points which we always aim to find a solution for ahead of setup. However, if you suspect any of the following points will require addressing during setup, please allow extra time for us to do this comfortably:
- Furniture needs to be moved or removed
- A suitable network has not yet been established and Jenson8 staff will meet a technician on-site to find a solution
- Client-owned devices are being used and have not completed setup
